How to Document a Lab Survey

Before logging in

A schematic diagram of each room must be in the system in order to proceed with documenting your lab survey.  Our office has loaded diagrams for most of the rooms but it’s possible there are still a few without a diagram attached.  To confirm which of your rooms have diagrams and which don’t, log into the system. (www.rss.usda.gov/rsms).  If you have forgotten your userid and/or password, send an email to Katina Jones (Katina.jones@rss.usda.gov) to have your information reset.  Once inside the system, on the right hand side of the screen, scroll down to the link entitled View Permit Summary.  All rooms with a diagram attached will be underlined indicating a hyperlink to the diagram.  If there are rooms that do not have a diagram, you may do one of the following:

1) Fax the diagram to 301-504-2450 and it will be loaded for you.     OR

2) You can load a jpeg. or gif. file of the diagram when you proceed to document your survey.

 

Documenting the lab survey

You must log in to document  “no survey” if you have no inventory.

Associate users that have log-in access to the system can document your lab survey; otherwise you must log in to enter it. 

The initial lab survey submission will require the most information (pertaining to the location of swipes).  All subsequent submissions will only require your results.

Scroll down to Survey Tasks on the right hand side of the screen and click on the link Document a Lab Survey.  You will be populating fields similar to those on the previous RSS-100 form.

You will have the option of choosing “this particular room was not used during the reporting period” for your rooms, but it can not be used for every room on your permit.  If you are storing materials, at least one room will have to be surveyed as the storage room.

You can save and exit the system as many times as you like.  If you do so, your pending (unfinished) survey will be in your “TO DO” box on the left hand side of the screen.  Simply click on the link to update.  At the completion of your survey, you must click SUBMIT, otherwise your survey will not be submitted for review.  If you would like to print a copy of your completed survey, return to the main menu, click on the link View all Surveys, and there will be a link to print the survey you just submitted.

You are required to document a survey based on your usage:

Monthly:  < 200 uCi per experiment or < 1 mCi per week

 

OR

 

Weekly:  > or = 200 uCi per experiment or > or = 1 mCi per week

 

The web-based database will serve as your new warehouse for your surveys.  Random surveys are subject to review.
